Position Responsibilities
You will provide day-to-day administrative support to the President and Vice President. Responsibilities include, but are not limited to, the following:
Provide administrative support related to meetings of the Board of Directors, Committees, and supporting organizations, including communications, record-keeping, material distribution, scheduling, and relevant asks as needed.
- Manage the President and Vice President’s calendars, scheduling/moving meetings and handling all the related logistics.
- Perform general office duties, such as filing, ordering supplies, recording daily receipts, opening/distributing mail, and answering/directing phone calls.
- Assist with completing documentation to maintain accreditations and respond to audits and other important requirements.
- Handle tracking of farm member shares, ordering supplies/equipment and other administrative support for our farm in Amagansett. Assist with Farm staff-housing, seasonal readiness, and repairs and maintenance including deliveries/pick-ups at the farm as needed.
- Make travel arrangements and handle registrations for the President and Vice President.
- Assist with the smooth operation of the office, special projects, and Trust initiatives.
Experience and Education Requirements
- Minimum HS Diploma or equivalent.
- Minimum one year of office administrative experience directly supporting a senior manager.
- Professional communication etiquette orally and written.
- Experience operating basic office equipment (copier, scanner, fax, printer).
- Must be able to distinguish and know how to maintain confidential and sensitive information and matters.
- Must be detail oriented with excellent organizational, communication, and follow through skills.
- Professional, approachable, and collaborative demeanor necessary with ability to respond productively to feedback.
- Working knowledge of Microsoft Office Suite and email required with experience preparing correspondence in Word, presentations on PowerPoint and charts/graphs in Excel.
- Clear and effective written and verbal communication skills.
- Ability to juggle multiple priorities effectively.
- Occasional weekend and after-workday hours, including two mandatory companywide events.
- Must be at least 18 years old and possess a valid driver’s license with the ability to reliability commute to Southampton main office and other Trust properties on the East End of LI.

- $24-$26 per hour
- 35 hours a week Monday-Friday, with a hybrid work schedule up to 2 days remote per week after successfully completing the 90-day initial employment period.
